What the tracker gives your office

The file is deliberately small. It does not estimate roofs, run a CRM, schedule crews, or decide which opportunity matters most. It gives a team one visible place to record the work that still needs a human decision.

  • Homeowner / Opportunity: one clear identifier for the request.
  • Owner: the person responsible for what happens next.
  • Last action and Next action: a record of what actually happened and the specific work still owed.
  • Status: Needs Action, In Progress, Booked, or Not Booked.

A simple daily routine

Open the sheet at the start of the day and review Needs Action before the office gets busy. After a meaningful call, email, text, or scheduling decision, update Last action and write a real Next action. “Follow up soon” is not a next action; “Call Thursday morning” is.

For a one-person shop, a sheet may be all you need. For a larger team, the same routine is still the test: can everyone see who owns an open inquiry and what needs to happen next?

Before you use it

Delete the four rows marked EXAMPLE. They are fictional and exist only to show the workflow.

Keep only the context the next person needs to act. Use your own data-handling policy for real homeowner information.

Use it alongside the tools that already work for your company. A spreadsheet is not a replacement for an estimating system or a complete roofing CRM.
